When you apply for a tenancy, we collect:

• Your name, date of birth, and contact details
• Proof of identity and right to rent documentation
• Employment, income, and financial details
• Previous landlord or letting agent references
• Details of other occupants and guarantors (if applicable)

Why We Collect Your Data & Legal Basis

We collect your personal data to:

• Process your tenancy application (Contract)
• Carry out referencing checks and assess affordability (Legitimate Interest)
• Comply with legal obligations such as Right to Rent checks (Legal Obligation)

Who We Share Your Data With

We may share your data with:

• Referencing agencies and credit check providers
• The landlord of the property
• Contractors for required pre-tenancy works
• Government or regulatory bodies if required by law

How Long We Keep Your Data

• Successful applicants – tenancy file retained for 6 years after tenancy ends
• Unsuccessful applicants – application data deleted within 12 months unless you consent to us keeping it for future opportunities
